When exhibiting at trade shows and trade fairs – you want your exhibition booth to have an exciting and creative exhibition stall design. At the same time you need the exhibition stall design to be economical. Your exhibition marketing budget is not limitless. Therefore you need your chosen exhibitions company to supply an exhibition stall design which can be delivered and installed on time and on budget. What steps do we use to ensure this is delivered? In this article we aim to set out the 5 step process Jellybean Creative implement to deliver creative exhibition stall design.
Step 1 – Exhibition Stall Design Requirements
Your exhibition stall requirements are important to a successful project. Our exhibition designers need this to ensure an exhibition stall design which fulfills your expectations. Therefore if you do not already have detailed exhibition design brief, ask us and we can email you our projects requirements questionnaire. This asks a series of questions to help define the project brief. Otherwise basic information can be overlooked. Answers to the following questions are required. This allows our designers the ability to provide the correct exhibition stall design:
- What are the dimensions of your exhibition stand space?
- What type of stand space have you ordered? – Shell Scheme or Space Only?
- How many open sides do you have to the corridor – 1, 2, 3, or is your stand space an island site?
- How high do you want to go with your stand?
- Do you require hospitality meeting furniture on your stand? How much and what type?
- Do you require any storage room on your exhibition stall?
- Do you require a customer reception area or refreshments bar on your stall?
- What type of products will you be displaying on your exhibition stall?
- What are the main messages/Brands you want to convey on your exhibition stall?
- Do you need the exhibition stall for a one off project – or do you want the exhibition stall for multiple shows?
- What is your approx. exhibition stall budget?
Step 2 – Exhibition Stall Design Concepts
Once we have determined the list of requirements for your exhibition stand project, our exhibition stall designers will go away and work up appropriate exhibition stall designs. These will fulfil your project requirements. Our exhibition stall designers develop the booth design in the computer, using 3D modelling software. This allows the designers to accurately work on real dimensions. This allows any issues to be rectified in the computer – not at the build-up stages. Our exhibition designers will then present their 3D design concepts, along with budget estimates on email. Any adjustments can then be made to the exhibition stand design, prior to the project contract being prepared for approval and sign off.
Step 3 – Exhibition Stall Design Development
Once the project contract has been signed and approved, further design development can then take place. We appreciate our exhibition designers will not get it perfect first time. Therefore adjustments will be required as the exhibition project evolves. This process will be via emails back and forth, between the client and project handler from Jellybean Creative. Details with regards to the exhibition information graphics can also be developed at this stage – if required. Merchandising the exhibition stall with accurate product dimensions and weight loads can also be completed.
Step 4 – Exhibition Stall Specification Drawings
When the exhibition stall design is finished, it is now time for our exhibition designers to prepare all final plans and elevations. The event organizers will require these to be able to approve all stand specifications. Building of the exhibition stand cannot commence on-site until the event organizers have approved all plans and elevations. These drawings are technical based drawings, fully dimension-ed and specified to show all finishes and exhibition stand components. At this stage Jellybean Creative also has to submit our companies Health and Safety documents to the event organizer. These include the following:
- Construction Phase Plan
- Project Risk Assessments
- Project Method statement
- Copy of Public Liability Insurance
- Copy of the company’s general Health and Safety policy
Step 5 – Exhibition Stall Manufacture & Installation
When the exhibition event organizer grants stand approval, we can begin the manufacture of the exhibition stall design. All exhibition design, plans and specifications are passed to our exhibition stand builders to commence the production phase of the trade show displays. We normally require 8 weeks to allow for all production. This also takes into account the final large format printing of all exhibition display graphics. When all exhibition stand display components are ready – installation by our exhibition stand contractors and installation teams can commence. Exhibition stand handover is made by the client account handler. This will be the person you have had contact with throughout the process of the exhibition project. Our exhibition contractors will be on hand at the close of the exhibition trade fair, to commence the dismantle stage of the project. Subject to the contract arrangements the stand furniture will then be wrapped and packed and placed into storage or will be transported back to our factory for recycling.
